DVOSE - DNE Volunteer Online System
- Who volunteers for DNE?
- You! DNE is a volunteer-run non-profit and depends on the work of thousands of volunteer hours each year to run camp and perform community support functions. All DNE members are expected to volunteer at least 3 hours of community service (as well as pay the membership fee) every year. Of course, many of us put in dozens and dozens of labor-of love work each year. We welcome your contribution at any level and encourage all to express their gratitude and enthusiasm by volunteering. We need you! Become a member!
- Note: "Chores" work at DNE camp does NOT count toward your community service volunteer work.
- Volunteering is a great way to get to know other DNE'ers, support the community, and to appreciate all those whose volunteer work has contributed your wonderful DNE experience. At DNE we may volunteer work FUN!
- What does the DNE Volunteers Online System do?
- We are paying to use the Volgistics.com database service to (1) record job information (2) record info about members and their preferences (3) keep track of job assignments (matching the people to the jobs; knowing who has what jobs) and (4) recording members' volunteer hours each year.
- The web pages you will see as a member are described in the next item. The volgistics.com site has a very fancy interface for defining jobs, assigning volunteers to jobs, and printing reports, which is only accessible by a couple of 'system administrators.'
- How do I access DEVOSE?
- The volunteer home page at www.dne.org/members/volunteers has links to the two main DEVOSE pages: (1) Opportunity Directory -- showing all DNE jobs; and (2) your personal DEVOSE page, with your profile information and job assignment.
- For your personal page you will need your login name, which is your email address, and your password, which Dev will have emailed to you.
- I forgot my password!
- Go to the personal DEVOSE page and click the link "Forget your password?" link and it will send your password to your email address. Not sure which email address we have for you? Call Dev.
- Who is managing DEVOSE?
- Lisa Tiemann is the DNE Membership and Volunteer Coordinator. Email him, or call him at: (857) 719-3884. Tom Murray is helping Dev with system administration and design. Overseeing everything is the Membership and Volunteer Committee, made up of the following LC and CCG members (as of 8/10) Tom, Elizabeth C., Alan M., David K., and Debbie S.
- How do I get assigned a job and report my volunteer hours?
- On your personal page you should specify your skills and job preferences. You can email Dev at any time and he will help match you to a job; or with any questions.
- Once you have completed your job please log on to your personal page and log in your hours using the TIME SHEET tab.
- Why not log in now and fill in your Profile information so we have your demographic and preference info!
- Do all volunteers have to use this online system?
- No! If you don't want to use the online system, you can have a phone or email conversation with Dev to get assigned to a volunteer job. Make sure you tell him when you have completed so he can log your hours.
- Does DEVOSE keep track of staff jobs?
- DVOSE keeps track of not only volunteer jobs, but all jobs at camp, including all compensated and staff jobs. It only keeps track of who has what job. Volunteers log their hours into DEVOSE but it does not deal with payment. Whether staff positions log their paid hours into DEVOSE is up to the supervisor of each staff position.
- What about Committee Heads and other job Coordinators?
- DEVOSE (volgistics.com) has a system for having "Coordinators" overseeing jobs. "Coordinators" can be Committee heads or other supervisory roles. "Coordinators" can see the assignments and posted hours for the people they are overseeing. They can also use the system to send emails to all or any of their people. WE ARE STILL FIGURING OUT THIS ASPECT OF THE SYSTEM--MORE INFO LATER!
- "Coordinators" (unfortunately) can't log into the volgistics.com site to add or edit job descriptions. All Coordinators should check the job descriptions at the Opportunity Directory and email Dev with changes and additions.
- Note: Coordinators will have two separate 'accounts' in the system, one for you as a member/volunteer, and another for you as a Coordinator. When you go to the login screen it will ask you to choose which role you want to log in under.
- Why have we set up this system?
- 1. Many DNE members are willing to volunteer but are not sure how to or what jobs are available. In 2010 we created a new staff position called the "Membership and Volunteer Coordinator," now held by Dev, to support membership functions in general, and also to organize volunteer work. We also researched, found, and started using volgistics.com.
- 2. DNE takes a lot of work to run and those who put in many hours sometimes feel like we could sure use some more help! The Membership and Volunteer Coordinator will not only be waiting for members to contact him/her, but will also proactively be calling members to help them find volunteer work that suits them. We now have systems to help us organize all of this!
- 3. There is a "requirement" that all members put in at least 3 hours of service work. But until now we had no way to keep track of whether people were doing this service, and a lot of folks would "fall through the cracks" for any number of reasons, DNE's or theirs. Now we have better systems in place so that we can have more of a sense of organization and integrity around this volunteer requirement -- so we can add a bit of accountability to the fun, sense of accomplishment, and community connections had through volunteering.
- 4. Until now DNE has not had a central and easily assessable place for job descriptions (for both volunteer and staff jobs). Having a database of job descriptions will allow for more clarity in job execution and will help DNE improve its job and self-evaluation/feedback methods and will help our attempts to improve job compensation equity.
